Virtual Assistant to CEO full time

I own two successful small businesses that are in the travel niche, and I work with influencers organizing trips overseas and big-ticket sales I'm looking for a new virtual assistant to be next to me during working hours and taking notes as well as overseeing projects and helping me manage my existing team to help overall produce higher sales. This is both an hourly and commission position. My last assistant made an average of $2000 in commissions for every campaign we ran. And we run campaigns back to back. This is for a person with experience and strong English skills. You must have a workspace free of distractions and a lifestyle that allows you to always be able to be in communication with me, even around work hours, occasionally if I have an emergency occurs. Must be seeking a life-changing job and willing to learn and grow with my company ideally for 2 to 5 years minimum.

As the Virtual Assistant to the CEO, you will play a crucial role in managing administrative tasks, organizing projects, and facilitating communication to ensure the CEO's workflow runs smoothly. Your responsibilities will include:

  • Managing the CEO's email inbox, drafting responses, and prioritizing incoming messages.
  • Organizing and scheduling meetings, appointments, and travel arrangements for/with the CEO.
  • Maintaining and updating records, documents, and files using tools such as Airtable and Canva.
  • Assisting with research, data analysis, and preparation of reports as needed.
  • Coordinating and overseeing small projects, tracking progress, and ensuring deadlines are met.
  • Handling confidential information with discretion and professionalism.

Requirements:

  • Proven experience as a virtual assistant or executive assistant, preferably supporting C-level executives.
  • Proficiency in email management and communication tools such as Gmail, google sheets, or similar platforms.
  • Familiarity with project management tools like Airtable for organizing tasks and projects.
  • Experience with Canvas or similar design tools for creating presentations and documents.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision and adapt to changing priorities.
  • Bachelor's degree or equivalent experience preferred.
