I have a diverse professional background, having worked in the Project
Management sectors, Consulting and construction company. My
experience encompasses various Document Management Systems,
including proficiency in Microsoft applications such as MS Word, MS
Excel, MS PowerPoint, and MS Outlook. I am skilled in Electronic
Document Control and Administration applications like 'the software
system,' Aconex, and Primavera Unifier.
My expertise extends to Engineering Documentation, Technical Drawings,
Specifications, Procedures, design analysis, quality manuals, software,
external standards, validation protocols, and department procedures. I
have successfully developed Document Controlling Systems for projects.
With exposure to Project Management offices, I have managed Site
Document Control, and executed document control duties. I possess
knowledge of the ISO 9001:2008 Quality Management System.
In addition to my technical skills, I bring proficiency in office procedures,
excellent verbal and written communication, and a good typing speed. I

Major Responsibilities as Office Admin/ Document

• Managing the Day-to-Day processing of Documents using
Electronic and Paper Filing System
• Maintains an established data distribution system and
schedule for the assigned project based upon Client,
Consultant, Contractor and Project requirement.
• Regular interaction with Engineers dealing with Requests
and Queries.
• Responsible for the Receipt and Issuing of Documents and
Drawings from Companies and the Filing of all related
material both paper and electronically produced.
• Receipt, Creation of transmittals and distribution of
Documentation for comment.
• Controlling of construction documents such as design
specifications, design drawings, vendor documents, project
procedures, construction calculations and construction
drawings.
• Responsible for all project documents, transmittals,
submittals and correspondences and ensures proper
distribution
• Scrutinize and input document data in engineering
document registers, ensuring that the information entered is
accurate and up to date at all times.
• Prepare Project Status Update and Summary reports.
Perform administrative works to the project team.

Routing/ controlling of documents, maintain efficient
distribution, creating file lists etc.
• Makes arrangements for meetings, including booking
venues, ensuring all participants are aware of timing and

• Managing and screening appointments, drafting minutes of
meetings and memos.
• Provides a time management/diary service for the project
manager to ensure effective use of time and attendance at
all meetings at the appointed times.
• Acts as first point of contact for both internal and external
visitors wishing to contact the project manager/senior
project staff.
• Receives calls and personal approaches and determines the
nature of the enquiry in order that it can be directed to the
appropriate person.
• Sorts and distributes mail ensuring correct destination is
identified and promptness of delivery.

Act as Project Coordinator and as a Personal Assistant to
Senior Project Manager
• Liaise with QA/QC Manager in formulating procedures and
work flows in line with the Project requirement.
• Assists with the development, implementation and
interpretation of project document control procedures.
• Supports audits for quality assurance, internal technical
reviews, client reviews and ISO Standard audit.
• Monitor proper classification & sorting of documents,
archiving and retrieval in accordance with project document
procedure.
• Performs other similar or related duties assigned such as
preparing self – correspondences, progress reports, and
status sheets.
• Follows-up outstanding responses to requests, ensuring
deadlines are adhered to.

approval submittals, shop drawing, RFI (incoming &
outgoing).
• Scan and store the approved shop drawings in the database
so that the project team can access.
• List out all types of documents i.e. drawing, technical
documents, submittals, Query Sheets, Shop Drawings
Approvals and correspondence of internal & external letters.
Giving them the unique reference number for identification
and easy retrieval whenever required.
• Supervise & monitor the Document Control Department,
Document Controllers & Assistant Document Controllers and
assign activities to them.
• Conduct interviews of secretarial / clerical and Document
Control Department staff for new projects. Provide training
& guideline regarding documentation to new employees.
Implement the documentation procedures on new projects.
• Conduct Internal Audit of various projects
• Maintains staff records/files, data inputting, distributing
internal and external documentation, arranging drivers and
carrying out other tasks.
